Special Event Request Application

  2. Application for Special Event Permit

    Thank you for your interest in hosting a special event in the City of Ashland.

    Applicants planning public events or outdoor activities on City property — including parks, streets, sidewalks, and other public spaces — must complete the City of Ashland Special Event/Outdoor Activity Application. This applies to events such as concerts, races, parades, festivals, and filming. If you're unsure whether your event requires a Special Event Permit, please contact us.

    Applications must be submitted at least 90 days before the proposed event date. Once approved, a $130 application fee will be applied to your permit.

    Note: This application is for public events only. If you are planning a private event, please contact us at parksinfo@ashlandoregon.gov or 541-488-5340 for more information.

    Events in the Parks between Nov. 1st - Mid April may be denied due to park impacts.

  5. Use this box if your event takes place over multiple days.

  6. When you or event staff will be at the site for set up/tear down. 

  7. Provide a specific, detailed description of the event. Include site plans, maps, and any special requirements. Special requirements may include portable toilets, trash cans, amplification, promotion, and potential impacts on the site.

  12. Will your event require amplification?*

    If yes, prior approval by APRD is required for all parks, with the exception of the Lithia Park Butler Memorial Bandshell. The amplification limit at the bandshell is currently at 1.5 hours, no louder than 75 decibels, and must end by 8 pm

  13. Are you requesting booths?*

    A booth can be informational, a vendor display, or a food truck.

    If yes, and your booth request is for Lithia Park, see the Butler Memorial Bandshell site plan. In addition, review the Selling in Parks and Special Event Booth Policy.

  14. The maximum number of booths allowed is 25, no larger than 10 feet by 10 feet. This must be included on your site plan.

  15. If Yes, how many? 

    Food Trucks must have a business license to operate in the City of Ashland. If they do not, they can acquire a short term business license here.

  16. Will You be Serving Alcohol?*

    View the Updated APRD Rules for Alcohol Use in Parks and if you would like to request a permit for selling or consuming alcohol at your event you must fill out the APRD Alcohol Use Supplementary Application. Submit your application to parksinfo@ashlandoregon.gov

  19. Is there a fee associated with the event?*
  20. Note: With the exception of booths, selling in parks is prohibited; however, donations are allowed - Review the Selling in Parks and Special Event Booth Policy in your confirmation email.

    I/we are authorized representative(s) of the above organization, that the above statements are true to the best of my knowledge and I/we agree on behalf of our group to assume liability at all costs for any misuse or damage to public property, to be bound to the policies and regulations of the City of Ashland, and to adhere to any additional requirements imposed by the City of Ashland. I further understand that if any information on this permit request is found to be fraudulent or a misrepresentation of the facts, the permit may be revoked. I agree to indemnify, defend and hold harmless the City, its officers, representatives, employees and agents from any and all claims solely attributable to a permitee’s activities conducted during the event.
